Cancellation Policy
Cancellation & Refund Policy To ensure reliable service for all passengers and fair scheduling for our drivers, the following cancellation policy applies to all trips booked with us online, by phone, or through a partner facility. ✔ 24-Hour Cancellation Window (No Charge) You may cancel your scheduled trip at no cost if the cancellation is made 24 hours or more before the pickup time. No fees, no penalties — simply notify us through your booking confirmation link, phone call, or email. ✔ Cancellations Made Less Than 24 Hours Before Pickup If a trip is canceled less than 24 hours before the scheduled pickup time, a 50% cancellation fee will be charged. This fee covers: Driver assignment Blocked availability Scheduling and administrative processing Time and mileage committed to your reservation ✔ No-Show Policy If the passenger is not present at the pickup location and we cannot reach them after the designated waiting period (typically 10 minutes for standard NEMT trips unless otherwise specified), the trip will be marked as a No-Show, and 100% of the trip cost may be charged. ✔ Facility, Medicaid, Case Manager, or Third-Party Booked Trips If transportation is scheduled on behalf of a patient or client by a facility or agency, the same cancellation terms apply unless a written agreement states otherwise. ✔ Weather, Emergency, or Company-Initiated Cancellations If we must cancel a trip due to weather, safety conditions, or unforeseen operational issues, you will not be charged. We will work with you to reschedule as soon as possible. ✔ How to Cancel a Trip You can cancel by: Clicking the cancellation link in your booking confirmation Calling our customer service line Emailing our dispatch team dispatch@allhandstrans.com All cancellations must be timestamped (phone, email, or system record) to determine whether they fall inside or outside the 24-hour window. ✔ Exceptions We understand that medical and life emergencies occur. If you need to request a fee waiver due to a documented emergency, please contact our support team. Requests will be reviewed on a case-by-case basis.
